Samara looks around her office at the university and stepped back. She looked around her and realized her room, which was normally her sanctuary was a complete disaster. Over time her papers for competitions and her schedules for her dancers and classes were everywhere.
“With the competition season just around the corner, there is simply no when I could possibly have time to clean it myself. What am I going to do? I can’t find anything.” Samara starts pacing back and forth in her office.
One of her co-workers walked past her office. “What’s wrong Samara?”
Samara looks over to see her friend Jazz.
“I cannot find anything. I can’t find three of my dancers forms for competition and I can’t find ANYTHING!” She is still pacing back and forth with her arms wrapped tightly around her.
“Hey, hey hold on. Here I saw this earlier perhaps if you call this cleaner they can help you.” She hands Samara a flyer with information on a private cleaning service.
“Hey this might just be perfect. Thanks doll. I’ll call them.”
Samara sits down at her desk and dials the number on the paper. “Hello? I hear that this is a cleaning service. Yes? Well I have a big job for you….”

This week has been a good week! Within a week of starting to advertise her business she has already one weekly contract and she just now has a phone call! Ok her other job may not actually continue past this week, but it is a start. Soon even more people will hear about her from their friends and colleagues and she will be on her way!
Momo tries to play it smart and calm and collected and she is not sure if that even sounds like her anymore. She also now has realized that she needs to answer the phone before the person hangs up. Taking a deep calming breath and with a steady voice she answers, "Hello Momo's cleaning service. A big job you say? Well how I usually work is we arrange a time for me to stop by and give an initial inspection and I create a check list of cleaning that needs to get done. I then have you go over the list and we then discuss the hourly rate and I give you an estimate on how long it will take me. If it is simply a one time contract or a repeating one. Now if I could get your info and a time to meet?"

"Oh right of course. My name is Samara Jade and the job is my office at the university. The room number is 270 in the fine arts building. If you prefer I can meet you at the front gate of the fine arts building. We can grab a coffee and talk about the job in more detail, then I will show you to the disaster I have been calling an office. This could very well become a repeating job either weekly or bi-weekly since I am always running around and I cannot currently see the floor of my office never mind find the paperwork I need. Would tomorrow say around noon work for you?" Samara starts rambling, she feels a bead of sweat fall down her forehead. She knows she tends to say too much far too quickly.
Samara wipes the sweat off of her forehead. This woman must think I am simply out of my mind. I can't seem to shut up. This is why I hate phoning people. "Oh I have one last question for you. How are you with dealing with slightly confidential information? I have forms in here that will need to be picked up but they can be about my students..."

The rush of words was a little unusual however she did her write down the pertinent information. "Ms. Jade I can do one time cleaning or set up a schedulethat works for the both of us. A meeting tomorrow at noon works perfectly for me and I would appreciate you meeting me at the gate of the Fine Arts building. I may be good at cleaning, but my sense of direction is somewhat lacking.
"Now Ms. Jade when it comes to confidentiality and privacy I can assure you that I will be the picture of discretion. Nothing is disclosed to anyone. Nothing can be disclosed to anyone. The only paperwork I keep is my checklist. My checklist is purposefully vague and I have every client go over and my list and ok everything before I file it. There is no electronic copy of any of my paperwork. All my paperwork is kept under lock and key in my home. No one, but me ever sees this paperwork."

"Oh perfect. Then I will see you tomorrow at noon." After saying farewell Samara puts down the phone. "Well that could have gone better. But the again I guess I have never been that good at talking on the phone." She looks around her office and sighs. "At least tomorrow I can see if she can handle this disaster zone." She grabs a couple of papers and heads to the studio, where one of her dancers was waiting for her.
The Next Day around 11:45 am. Samara is waiting at the gate of the Fine Arts building waiting to show Momo to her office. She has some of the papers that she was holding onto yesterday, just so she didn't lose them. She had a cup of tea in the other hand, that she was sipping casually. She sits down on one of the benches and waits quietly for Momo to arrive.

Well that went well. A little information overload, but it wasn't anything that she couldn't handle. Some people were nervous talkers. It's not unusual for people to be nervous when talking on the phone, nor was a loss of control of space to also bring out a nervous reaction. Whatever the reason it was none of her business why Ms. Jade was nervous all Momo had to do is put her at ease by showing she is good at what she does and that she has nothing to worry about.
The next day she packs up, has Sarah download a map to the University's Fine Arts building. Momo leaves with plenty of time to find the building and park. She purposefully takes time in her walk so that she arrives at the gate at 11.55. As Momo walks towards the gate she is only carrying her clipboard and Sarah sits on her shoulder. She looks for a woman unfortunately she is unsure which woman is Ms. Jade, she walked up to the first woman she found. The woman had a coffee cup in one hand and papers in another. "Excuse me are you Ms. Jade?" She asked politely asks.

Samara looks up from her lap to see a woman standing in front of her. "Oh, yes! I am." Samara stands up carefully so she wouldn't spill her tea. She looks at the woman standing in front of her. She puts her tea in her other hand and reaches out the other one. "I take it that you are Momo? It is a pleasure to meet you. Please just call me Samara. I find it awkward to be called Ms. Jade, besides I never really cared for formality." She smiles softly at you. "Shall we go to my office then?"
After waiting for your reply she starts walking down the nearest hallway and down a flight of stairs. The stairs are just simple white walls. Once you get down one floor she leads Momo through a series of hallways. "Sorry, my office is really hard to get to if you don't know the way around." After a couple more turns she stops at a door and unlocks it. She opens the door and a few papers come flying out. "When I said it was a complete disaster. I really meant it." She looks at you, a little embarrassed.

Momo was proud of herself for choosing the right person to be Ms. Jade, sorry Samara. She is unused to not being as professional with her clients, but if she wanted to be called Samara she would be called Samara. "Yes Samara I am Momo and would appreciate you leading me to your office my sense of direction is not the best if I've never been there before. Once I've been there I tend to be able to find my way back, just the initial trip can go horribly if I have to rely on myself." Oh Momo is sooooo lucky that Samara was leading her to her office, she is sure that she would have been terribly lost.
"I can assure you Samara that your office is not the worst I have seen and even if it were I would never judge." Then Samara opened the door and Momo probably should have kept her peace until she had actually seen the office. Momo wasn't even sure how it got this bad. Papers were strewn everywhere, but on a positive note she didn't see anything that really needed cleaning. Just the regular wipe downs of all the surfaces. There maybe a coffee cup or two hidden in there, but unfortunately the paper would take some serious organization.
"I believe I have found the source of your cleanliness issues. Do you have enough space for holding and organizing these papers, or do you need more cabinets or boxes for this? After we do that I believe all that most of this space needs is a vacuum and a wipe down."

"Perhaps you are right. I probably do not have enough storage space. What do you recommend? I have about three dozen students to keep track of and forms everywhere." She stands there pondering to herself. She looks at you for a reply. "I have no idea where to start as you can probably guess. do you want to sit out in the sitting area outside and discuss things, such as your fee and you recommendations?"
Samara points to the sitting area just off to the side of her office. It is filled with couches and chairs. The area is windowed and filled with natural light. "Normally the students sit around here but they have a couple days off from classes. So we will not be interrupted." She waves over to the area and starts walking over there after closing the door to her office.
She practically throws herself onto one of the chairs and drapes her legs over one side and waits for you to sit down.

Momo exhales a deep breath and followed Samara over to the student seating area. She sits in one of the single chairs and turns to Samara. "My fee and billing system is easy. On my first visit I create a checklist you check it over and sign off on it. The checklist will cover everything that I would do on return visits, if you agree to a cleaning schedule with return visits. It would also include any extra cleaning for the visit. I charge an hourly rate, I also give an estimate for the time I would think it would take. I believe any visits beyond this first one will just take an hour, possibly two if you want me to do any paperwork organization as well. This first one will probably take around 2-3 hours probably more if you have absolutely no organization system in place. Even one as simple as students papers go here and contest papers go here.
"As for organization I would recommend getting a filling cabinet of some sort, preferably one with a lock if you are going to store sensitive information in it. For today I will just put things in piles although if you could get me boxes it would be greatly appreciated. I will simply be putting student papers together and organize them by student. Any contest or event paperwork will be organized by date, past and present. Any other paperwork will be organized in an appropriate manner.
